Logistics & Parts Operations Coordinator

The Logistics & Parts Operations Coordinator serves as a vital bridge between our sales floor, the warehouse, and our customers. In this role, you will provide critical support to the parts department by assisting with inventory management and ensuring the smooth flow of goods from receipt to final delivery. We are looking for a detail-oriented professional who can accurately manage the technicalities of warranty claims and returns while coordinating the urgency of freight scheduling. Your contribution ensures our sales and parts operations remain synchronized, accurate, and customer-focused.

Key Responsibilities

Parts & Inventory Support

• Inventory Assistance: Support the parts department by receiving and updating inventory in the system and maintaining accurate stock records.
• Returns Processing: Facilitate the “reverse logistics” flow by processing customer and vendor returns and ensuring core credits are tracked.
• Inbound Verification: Assist in verifying inbound shipments by comparing physical packing lists to system inventory, identifying and resolving any discrepancies.

Warranty & Claims Coordination

• Warranty Support: Assist in the end-to-end warranty claim process, gathering the necessary documentation to ensure claims are submitted to manufacturers correctly.
• Documentation: Review and match shipping documents to work orders for accuracy prior to submission to the accounting department.

Sales Logistics & Fulfillment

• Order Tracking: Coordinate forklift orders from sale through delivery and installation, ensuring all customer requirements are met.
• Freight Scheduling: Create purchase orders for freight and schedule shipments with carriers to ensure timely delivery timelines.
• Communication: Act as a central point of contact for order status updates for both sales representatives and customers.

Qualifications

• Experience: 2+ years of experience in logistics coordination, sales support, or parts operations.
• Industry Knowledge: Experience in material handling or heavy equipment is strongly preferred.
• Technical Skills: Proficiency in Microsoft Office (Excel, Word) and experience with ERP or logistics software.
• Document Expertise: Familiarity with Bills of Lading, packing lists, and commercial invoices.
